Invoice archive for small businesses: make every document findable again
A practical workflow for trades, service and retail: connect invoices with the job, approval and original file – including an interactive filing aid.

An invoice is only under control when someone can find it and explain it later without a search expedition. In small businesses, the original file, job, goods receipt and approval often sit in separate inboxes, folders or chats. The result is avoidable follow-up work.
This article describes a practical workflow in the German business context. It is not legal, tax or archiving advice; have individual obligations checked professionally.
File it – and connect it
Section 147 of the German Fiscal Code lists documents that must be kept in an orderly way. The BMF GoBD guidance addresses traceability and verifiability of business processes. That does not prescribe one folder structure, but every invoice needs a clear route back to its business event.
Keep four anchors together: the original file, the job or purchase reference, a short record of the check, and the shared location. A filename does not replace the document; it makes searches by date, invoice number or reference point in the same direction.
Five handovers that keep context intact
- Secure the incoming original: store it first in the shared location. For e-invoices, do not treat a screenshot as a substitute for the structured original; see the BMF e-invoice FAQ.
- Add the reference: attach the job, order, delivery note or cost centre. A missing reference should stay visible as a clarification, not in a private note.
- Record the check briefly: name the source and decision, for example: “quantity checked against goods receipt, AB, 28 July.”
- Mark exceptions: duplicates, price variances or uncertain bank details need a defined clarification path.
- Test retrieval: another person should find the original, context and approval in under two minutes using the invoice or job number.
Start with ten current invoices. Find the four anchors for each one, then standardise only the step that fails. That is a manageable improvement—not a claim of certified compliance.
