Transferring spare parts between locations: a traceable service workflow
Keep inter-branch part movements visible: check demand, record the handover, confirm receipt, and close stock only after verification.

The part a customer needs may be on another branch’s shelf. A fast transfer only helps if both teams can see the same movement. Otherwise a part gets promised twice, remains in the wrong stock figure, or cannot be matched to the repair invoice.
Turn a request into a transfer
“Can you send us that part?” is useful communication, not yet an inventory process. Give every movement a unique reference and link it to the repair order when there is one. Four answers matter: what is moving, where it is going, why, and who confirms receipt.
| Stage | Sending location | Receiving location |
|---|---|---|
| Need | Check part number, quantity and purpose | Check work order or minimum stock |
| Release | Check availability and reservations | Confirm priority and expected arrival |
| Dispatch | Record parcel, reference and time | Mark the shipment as expected |
| Receipt | Keep discrepancies traceable | Confirm quantity, condition and storage |
Put the reference on the parcel and on screen
Use the transfer reference on the label, in the internal record and, where relevant, in the customer work order. Add the part number, quantity and sending branch. Include serial, batch or condition information whenever it matters for warranty, compatibility or traceability.
Receipt is more than counting. Check packaging, visible damage and the actual variant received. Record any mismatch as a separate event: do not silently adjust stock or overwrite the original transfer. That leaves a clear trail for a picking, transport or receiving error.
Cross-border operations: one workflow, local treatment
Businesses in Germany, Austria, Czechia, Croatia and Slovenia can use the same operational pattern: record source, destination, timestamps and confirmation. But when goods move between legal entities, countries or customs territories, an internal stock note alone may not determine the accounting or tax treatment. The European Commission’s VAT overview is a useful starting point for the EU framework and national contacts.
EU VAT rules do not apply directly in Türkiye. For movements between Turkish locations or across borders, check the local document requirements, contractual position and tax treatment. This is operational guidance, not tax or customs advice. If stock belongs to another company or crosses a border, agree the process with finance or qualified local advice before the first dispatch.
A short routine for the workshop
- Specify the need: record the work order, part number, quantity and target date.
- Reserve at the source: ensure the part is not committed to another job.
- Release the transfer: assign an owner, transport method and expected arrival.
- Record dispatch: capture reference, contents, condition and time.
- Verify at destination: confirm receipt, quantity, condition and bin location.
- Close only then: release stock and update the customer job to its real status.
Questions about branch transfers
Is a chat message enough evidence?
It can start the transfer, but it does not replace a shared reference. Without one, it is hard to connect a parcel to a stock movement or work order later.
When is the part available at the destination?
The safest point is after an actual receipt and condition check. Before that, show it as expected or in transit, not freely available.
What if the wrong item arrives?
Do not delete the original transfer. Keep the discrepancy, photos or notes, and the next decision separately so the cause can be reviewed.
A calm transfer routine is not a large logistics project. It creates a reliable link between shelf, parcel and repair order, so a part borrowed at short notice does not become a later mystery.
