Receiving repairs by courier: a traceable intake workflow for workshops
How workshops match mailed-in devices to the right repair job, check them carefully and keep customers informed.

A mailed-in device is not automatically ready for repair. Between receiving a parcel and placing an item on the bench, key information can be missing: who sent it, what was included, what fault was reported, and whether the parcel appears intact. A short, repeatable intake prevents mix-ups and gives the customer a meaningful status.
Handle every parcel in three distinct steps

A delivery label is not a device identifier. If the parcel is damaged before opening, has no identifiable sender, or its contents do not match the booking, put it in a clearly marked clarification status. Move it to diagnosis only after a factual follow-up.
Keep the receipt message deliberately narrow
A receipt message should state only what is known: a shipment arrived, a device or identifier was matched, and what happens next. It is not a diagnosis, repair authorization, or promise on price or turnaround. Where information is missing, one focused question is safer than a broad message containing parcel and fault details.
Work with the applicable local data rules
For Germany, Austria, France, Spain, Czechia, Croatia and Slovenia, the GDPR is a shared framework; its data-minimisation principle appears in Article 5 GDPR. In practice, collect only shipping and contact information needed for intake, clarification and the job, and limit access to parcel contents. The GDPR does not apply directly in Türkiye; the Personal Data Protection Law is a relevant starting point there.

Turn the parcel into one clear case
Once the match is sound, keep the arrival, contents, open point and next owner together in the repair record. A digital job record can make that handover easier; the essential control is that every status change has a traceable reason. That lets mailed-in repairs begin with an accountable handover rather than guesswork.
