A short, consistently followed workflow keeps its return from becoming a search through messages and drawers.

Treat issue as its own work item

Do not simply mark a device as “given out”. Create a unique record linked to the repair job. You need the same small set of facts each time:

Decide before handover: prepared or reset?

For loan phones, tablets and laptops, a standard starting state matters more than a fast handover. Before issue, check that the device has been reset, updated and set up with a separate loan profile. The previous user’s accounts must not travel to the next device.

Return is an appointment, not an afterthought

Schedule return when you issue the device. When the repair is complete, keep two actions visible: collection of the repaired device and return of the loan device. Otherwise a closed repair ticket can hide an asset still outside the business.

At return, compare the identifier, accessories and condition with the issue record. Log differences factually and agree the next action before the device goes back into the pool. Then clean it, test it and reset it for the next customer. A simple status flow — available, reserved, issued, return check, prepare — exposes bottlenecks without guesswork.

Cross-border operations: keep the workflow, check local rules

For Germany, Austria, France, Spain, Czechia, Croatia and Slovenia, the EU data-protection framework is relevant when personal data is processed; contract wording, liability and retention should still be checked locally. The EU framework does not apply directly in Türkiye. The Turkish data protection authority publishes the Personal Data Protection Law, which is relevant there.

This does not mean each country needs a different handover process. Keep the operational core consistent and have local wording on consent, liability, deadlines and communication reviewed. For cross-border customers, the agreed contract matters more than assumptions based on where a device originated.

A small board for the device pool

A central job or inventory view only needs to answer five questions for each loan device: where is it, for which job, until when, in what condition, and what happens next? That is quiet digitisation: it does not replace a contract or technical inspection, but keeps a valuable asset from disappearing between the bench, counter and store room.
